Banquet Hall FAQs

  • Due to compacity limits all groups with more than 35 guest are required to use the reception hall for dining and large gatherings. (Cleaning fee added)

  • In addition to tables and chairs, additional decor is avalible to our retreat planners and their teams. Please arrange time in the months leading up to your event to visit in person and select decor items that can be used to decorate your event.

  • Yes, there is a spacious prep kitchen that provides a perfect space for outside catering or personal meal prep.

    Kitchen includes:

    • Refridgerator with Freezer

    • Microwave

    • Standard Kithen Oven

    • Insudtrial Ice Machine

    • Ample counter space

    • 2 large white coolers

    • Bunn Coffee Machine

    • limited cooking supplies/utinsils

    • Purified water for coffee machines

    • 3 Drink dispensers

  • Beer, Wine, and Champagne are allowed for service. TABC Bartender and security are required for any and all alcohol service.

    Willowood Ranch does NOT allow liquor, BYOB, or self-serve bar options.

  • Yes. There is a built in surround sound system that can be connected to your provided device by bluetooth, AUX cord or lightning cable.

    Wireless micophone is avalible.

    If you soud set up is unique or personalized we reccomed providing your own portable system.

    For larger events the require and MC or sound mixer we reccomend hiring a reputable DJ - reccomendations avalible upon request.

  • Plain black linens are included for all retreat events.

    Colored linens are avalible to rent though A-1 rentals in Denison TX.

  • In addition to Kurieg and convential coffee makers, the banquet hall kitchen includes a large BUNN coffee maker, filters as well as perkalator.

    Grounds and coffee consumables must be provided by retreat planners.

  • While dishes are not included, rentals are avalible on site. Prices vary based on style and use.

    Disposable dishware is encouraged and must be provided by retreat planner.

  • Yes! All spaces are equip with high speed wireless interent. The password to each space can be found in the kitchen.

  • Willowood Ranch has partnered with The Humble Chef Catering to bring exceptional dining options to couples and guests! While outside Catering is welcome and must be pre-approved by the venue, we encourage all parties to explore our on-site catering!

  • Our compacity depends on the type of retreat you plan to host. As each of our houses is laid out differently, sleeping arrangements may vary between individual occupancy, shared rooms, or shared beds.

    We have 9 houses, 20 rooms and 44 beds avalible. Please see our lodging page for details.

  • Meals are not included in your booking. However we have a longstanding relationship with the Humble Chef who offers exceptional meal packages to our retreat friends. Connect with Chef Brian today to disuss meal options!

  • Yes! Each house is fully equipped with furnished kitchens including our Ranch house which sleeps up to 14 overnight guests and is perfect for daytime entertaining. This house is frequently treated at a “Base” or smaller retreats with up to 30 guests, and has an upgraded gormet kichen that can be use by guests or catering services.

    Helpful things provided are:

    Large refrigerator storage, industrial ice machine, standard kitchen equipment, dining spaces, grills, fire pits, flat top, trash receptacles, and more.

  • Willowood does NOT have RV hookups or dump stations on the property. RVs may be boon docked and/or be powered by generators. RV camping is allowed but must be approved at booking and may come with additional fees.

  • Service pets are the only apporved pets allowed on teh property. Please be aware that there are horses as well as barn cats, and ranch dogs that roam the property. They are not a threat to guests and are not allowed inside the spaces.

    Venue staff may require proof of rabies vaccine, coggins or other specific records to insure the saftey of guests and ranch livestock.

  • Willowood does not accept overnight bookings for children’s or youth retreats at this time. Children are welcome if accompanied by parents, but youth-specific overnight events are not accepted.

    We welcome group outdoor overnight camping, as well a day-camp events. Please message us with special requests.

  • Tent camping is allowed, but must be approved in advance. Fees may apply

    We welcome the opportunity to connect with local Churches and community groups such as Trail Life, American Heritage Girls, Boy Scouts, Girl Scouts, 4-H, and FFA or other community youth programs.

  • Yes! The poperty features three large easiily accessible ponds full of fish. Limited fishing gear is avalible to borrow free of charge, and guests are welcome to bring their own supplies.

    We do ask that all fishing be limited to catch and release.

  • Trail rides must be arranged before your arrival. We partner with a local horseman Micheal Crossley who will safely lead up to 5 riders at a time across the 350 acre property.

    Rides are $50 per rider and each trail lasts about 1 hour.

    All skill levels accepted. Waiver required. Rides must be arranged before arrival.

  • Yes, all retreats have acess to our stained glass chapel during thier stay as schedules allow.

    There are occcasions where other groups or events may need acess, schudules will be coordinated as needed.

  • Absolutly! Please visit Willowood Weddings to learn more about our wedding packages and avaliblity.

  • 25% of your rental total is due within two weeks of signing the booking agreement to hold your retreat dates and spaces. Payments made are non-refundable. Cancellations with at least 30 days' notice will receive a credit for the value of their deposit that can be used within 1 year from the cancellation date.

    • Pay the booking deposit, either by check or online payment.

    • Check in with us 30 days before arrival to confirm and finalize details.

  • While un-reserved spaces are not guaranteed, spaces can be added by request before arrival. Our team endeavors to make sure every space is prepared for your arrival with excellence. Last-minute additions may not be ready for guests.

  • We love visitors!

    Want to come out for the day and enjoy the propery, walk, book a trail ride, fish, or vist the chapel?
